How to edit a PDF document in Word

You want to edit a PDF file using Microsoft Word? This is how it’s done.

It used to be difficult to edit PDFs. But, Microsoft has made it much easier with new functionality for Word. To edit a PDF previously, Adobe Acrobat was required. The whole process was tedious.

But things have come a long way since then. Editing PDFs is now much easier with the latest Microsoft Word version. Microsoft Word 2013 and higher are all you need. For detailed instructions on how to edit PDF to JPG documents, see the guide below.

Step 1: Importing a pdf file in Microsoft Word

You must open a PDF file in Microsoft Word before you can edit it. Importing a PDF file into Microsoft Word is the first step. Open Microsoft Word to do this. Next, click on File> Open.

Your most recently opened documents will be displayed. Click on Browse and then choose the PDF file that you wish to import into Word. If the file is not visible in the folder you are looking for, ensure you have selected either “All Files” (or “PDF Files) from the drop-down menu.

Step 2: Convert the File

After clicking on the PDF file, and opening it in Word as shown above, a dialog box will appear. This message states that Word will convert and load the document, but it will take slightly more time than standard documents.

It is important to realize that formatting from the original document will be lost. This includes footnotes and page breaks, columns, table margins, tables, columns, tables, and any track changes or special formatting.

It is possible to lose certain font effects. This is due to the functional differences in the original software program used to create the PDF file and Microsoft Word.

Microsoft claims that text documents do not lose their formatting as PDF documents with tables, graphs and footnotes. These documents take slightly longer for them to load.

After the document has been loaded, you should review it thoroughly and make any necessary adjustments. The image below can be opened directly in Microsoft Word without losing its original formatting. It doesn’t have any unique text blocks or special effects.

 

Step 3: Edit your PDF document

You can open the PDF file and make any changes you like. You can edit the PDF file to remove or add information. The document will automatically reformat as you add or subtract elements. You can also add or remove graphics, tables or other effects.

You also have the ability to edit the margins and the page size. In the example below, we have added a table to the page and edited the highlighted text.

Step 4: Editing images in PDFs

Word supports the addition of images to PDFs. It’s extremely intuitive. There are many options for making changes to images such as cropping, moving it around, replacing it, wrapping text, and much more. The alt text can be edited as well. You have many formatting options, including:

 

  • Shadows
  • Reflections
  • Glow
  • Soft edges
  • Artistic effects
  • 3D Format and 3D Rotation

To make necessary changes, right-click the image and choose Size and position or Form Picture. As shown below, you can modify the image in any way that you like.

Word PDF editor is much easier than online editors . You can publish your content to PDFs using Word. This is a great option for small businesses who want to print the content.

Companies that use PDF files to copyright-protect may wish to password protect their documents. It is possible to protect the document by saving it as a Only file. This will prevent conversions.

 

Step 5: Export your PDF document

After you’re done editing your PDF document you can save it and export it as PDF. Click File > Save as to do this. Select PDF from the drop-down menu Save As Type (as seen above).

The PDF file can also be optimized. Two options will be displayed by Word:

  • Standard (optimized to print and publish online)
  • Minimal size (optimized to publish online)

It can also be exported using another option. You can export it by going to File > Export and then selecting “Create PDF/XPS document” as shown below.

What You Need to Know About Editing Word PDFs

Microsoft Word 2013 does not convert editable text. You might find certain elements not appearing as you expected, or you might not be able edit them. Interactive PDF elements may not show up, as well. You might also see gibberish, because Word interprets certain elements as graphics.

It is best to save the PDF file in a.docx format if you are using older versions of Word. You can save the PDF file as a.docx file if you’re using Office 365, or a later version of Microsoft Word.

This feature is still in development so don’t be surprised if it doesn’t produce the best results. This feature is ideal for editing text PDFs. As shown below, however, it will not load more complicated PDFs.

The text loads correctly but the images and background are not loading correctly. This can partly be explained by the multiple elements in the PDF.
